Terms & Conditions – Cambs Digitise Ltd

These Terms & Conditions (“Terms”) apply to all orders placed with Cambs Digitise Ltd.
By using our services or website, you agree to these Terms.

1. Services

Cambs Digitise Ltd provides professional media conversion and digitisation services, including:
VHS, VHS-C, Hi8, MiniDV, Video8, 8 mm film, slides, photos, audio cassettes, and related formats.

2. Pricing & payment

All prices are listed in GBP (£) and may be subject to change without notice.
Payment is normally required upfront before work begins.

For projects where the total number of items cannot be confirmed at the outset (e.g. slides or photos):

  • A 50% deposit is taken based on an estimated quantity;

  • The remaining balance is due upon completion, adjusted to the final count.

Orders are accepted only once payment (or deposit) has cleared.

3. Delivery & collection

Finished work is supplied via download link, USB drive, or DVD, depending on the customer’s choice.
Physical media can be posted or collected from our premises.
All items are handled with care, but customers should ensure their own media is suitably packaged for transit.
We cannot accept responsibility for loss or damage caused by third-party couriers.

4. Turnaround times

Estimated turnaround times are provided in good faith but are not guaranteed.
We will inform customers of any significant delays.

5. Quality & limitations

We always aim to produce the best possible transfer from your original media.
However, results may vary depending on tape age, damage or recording quality.
Old or degraded media cannot always be fully restored.

6. Refunds & rework

We do not offer refunds or returns.
If a conversion or copy does not work correctly due to a technical fault on our part, we will re-do the transfer free of charge.

7. Customer responsibility

Customers are responsible for ensuring that they own, or have permission to copy, the content supplied.
We will not knowingly duplicate or process copyrighted or unlawful material.

8. Data storage & retention

Customer files are held securely for up to 30 days after completion to allow for redelivery or replacements.
After this period, all digital copies are permanently deleted.

9. Liability

While every reasonable precaution is taken, Cambs Digitise Ltd cannot be held liable for:

  • Loss or damage to fragile or degraded media;

  • Loss of data resulting from inherent tape faults;

  • Delays caused by courier, postal or supply issues.

Our liability is limited to the replacement value of blank media supplied for the job.

10. Copyright & intellectual property

All digital copies remain the property of the customer.
We may retain anonymised samples or screenshots for demonstration purposes only with prior consent.

11. Privacy & data protection

Personal information is handled in accordance with our Privacy Policy and the UK GDPR.
Security cameras operate on our premises for asset and data protection.

12. Governing law

These Terms shall be governed by and construed in accordance with the laws of England and Wales.
Any disputes will be subject to the exclusive jurisdiction of the English courts.
